Countdown Coordination

What's known as "Day Of" is never actually just the day of the event. 

  • Initial consultation with Planner

  • Attendance at “Planning a Wedding from A to I Do” group seminar for two individuals

  • Accompanied visit to ceremony and reception venue(s)

  • Rehearsal Management

  • Officiant support for non-professionals

  • Confirmation calls to all vendors in week leading up to event

  • Creation and review of a timeline for the day before and of the event

  • Available by phone to wedding party, family, and attendees for the full day of the event

  • Planner will see to any necessary details that arise on the day of the event to ensure that everything goes as smoothly as possible. This will include, but is not limited to;

    • Seeing to any last-minute details as requested by wedding couple

    • Acting as point person for any questions, from vendors, family, or attendees

    • Assisting with set up; dressing side tables for gifts, memorabilia, seating cards, and installation of any décor provided by the client, etc.

    • Liaising with vendors at event, hand delivering any final payments

    • Seeing to the personal needs of wedding couple, keeping them feed and hydrated

    • Tracking down any wayward people for photos or other purposes

    • Keep event flowing and on time, ushering attendees as needed

    • Keeper of an “Emergency Event Kit” supplied by Planner to include such things as aspirin, stain remover, tissues, etc.

    • Assisting with other logistics as needed

Planning a Wedding from A to I Do!

Wedding Planning from A to I Do is a comprehensive seminar on the wedding planning process, offered in an intimate, low stress environment. You and your fiancé will review such topics as;

  • Where to Begin?

  • Guest lists, Budget, and Timelines, Oh My!

  • How to Find and Hire the Right Vendor

  • Making it Yours: Décor and Memorabilia

  • Herding Cats: How to Keep the Event Flowing

  • Wedding Therapy: The People We Love in the Moments We Hate

  • The Boring but Important Paperwork, and

  • How to Remember all the Things You Forget

 

Group seminars are with a maximum of three other couples. A Q&A session will follow the presentation, and focused attention will be given to your specific event and its issues. Each couple will receive a Planning Starter Kit which includes several useful templates, an annotated copy of the day’s presentation, and other goodies.

Group seminars are held on the 2nd Sunday of most months. Register now to reserve your date! Private seminars are now available to accommodate personalized scheduling.

Wedding Management

  • Initial consultation with Planner

  • Attendance at “Planning a Wedding from A to I Do” group seminar for two individuals

  • Unlimited email access from day one

  • Creation of a Tasks Timeline (aka a months-long to-do list)

  • Tips and question list for each type of vendor

  • Setup of “wedsite” prior to sending of invitations

  • Periodic check-ins by phone to track progress and update timeline

  • Planner to join Client on visit to the venue(s) for ceremony and reception

  • Confirmation calls to all vendors in week leading up to event

  • Appearance and assistance by Planner, as needed, at Rehearsal

  • Planner will create, review, and share with Client a timeline for the day of the event

  • Planner will be available to any event attendee by phone or text for the full day of the event

  • Planner will see to any necessary details that arise on the day of the event to ensure that everything goes as smoothly as possible.                              This will include, but is not limited to;

    • Assisting with set up, greet & coordinate vendors

    • Acting as point person for any questions from vendors or attendees

    • Assisting with set up; dressing side tables for gifts, memorabilia, seating cards, and installation of any DIY or other décor provided by the client

    • Keeper of an “Emergency Event Kit” supplied by Planner to include such things as aspirin, stain remover, tissues, etc.

    • Seeing to any last-minute details as requested by the bride or groom

    • Tracking down any wayward members of the wedding party

    • Assist in keeping to event time table and ushering of attendees as needed

    • Liaising with vendors at event and delivering any final payments

    • Assisting with other logistics as needed

Management

Full Planning Services

  • Initial consultation with Planner

  • Everything included in Countdown Coordination and Wedding Management

  • Creation of event theme & design

  • Review and allocation of budget

  • Research and recommendation of vendors in all necessary categories; including but not limited to venue, caterer, photographer, entertainment, lighting, décor, baker, officiant, bartender, rental company, seamstress or tailor, invitations, travel, and lodging

  • Assist with scheduling vendor meetings, as needed

  • Accompaniment to all in person vendor meetings

  • Liaising with hired vendors throughout the planning process to ensure desirable outcome, while eliminating time-consuming tug-o-wars over communication

  • Assistance with guest list organization, plus the sending of Date Savers and Invitations

  • Regular face-to-face meetings to brainstorm ideas, review vision, finalize the look and feel of the event

  • Assistance in selection and procurement of needed items, such as favors, guest book, etc.

  • Help handling issues with wedding party as they arise, making sure they have all critical information

  • Procuring and wrapping any special gifts to be given at the wedding or rehearsal

  • Special assistance for non-professional officiants

  • Wedding Therapy; helping you and your fiancé navigate the inevitable family drama
